How much time does your team spend re-capturing data, checking payments, and looking for discrepancies before being able to say that the month is closed? An invoice recorded twice or a pending transaction to identify can turn a simple review into a chain of emails, inquiries, and adjustments.

For those who run a business, that delay also has a cost: decisions about collections, expenses, and investments wait while accounting finishes organizing the information. That’s why, the improvements that reduce repetitive tasks deserve as much attention as the big technological announcements.

Odoo has announced for Odoo 20 advancements in accounting automation, assets, and financial reports. Several specific improvements are already documented in the intermediate versions 19.2, 19.3, and 19.4 of Odoo Online. They help to understand the direction of the new version; its availability in each company should be reviewed according to the version and configuration contracted. [1–4]

The opportunity is practical: spend less time preparing records and have more time to review what deserves attention.

Invoices that take advantage of what your company has already recorded

Imagine a company that receives every month maintenance, service, and supply invoices. Even if the amount changes, the team chooses the account again and reviews which area each expense corresponds to. This repetition consumes time even when everyone knows the procedure.

Odoo 19.4 includes suggestions for the lines of supplier invoices, based on history and description. It can pre-fill product, account, tax, analytical distribution, and vehicle, preserving the values manually entered in existing lines. It also improves duplicate alerts: it distinguishes very likely cases from those that require investigation. Odoo indicates that this last improvement has been available since 19.0. [2]

In the maintenance example, a classification proposal could avoid repeating part of the capture. The accountant would keep the review of the document and any changes in its treatment. The expected benefit is a more agile capture, supported by a well-recorded history.

Clearer payments to avoid unnecessary reviews

A supplier asks about an invoice. Administration sees a recorded payment, treasury remembers sending it, and accounting is still looking for its bank correspondence. When each person interprets the status differently, resolving the inquiry requires reconstructing the entire history.

In Odoo 19.2, payment statuses are reorganized to distinguish between paid and reconciled. Additionally, the payment assistant detects pending reconciliation payments and deducts them from the amount to be paid, as a measure to prevent double payments. When recording payments in foreign currency, the exchange rate is also shown more clearly. [3]

For the team, this can facilitate a daily question: Is there money left to send or is the reconciliation still pending? Having that difference visible helps organize the review and respond to the supplier with more accurate information.

Reconciliation is still part of the process. A recorded payment needs to be correctly related to the corresponding bank transaction. Before taking advantage of these changes, it is advisable to agree on who prepares the payment, who authorizes it, and who confirms its application.

For Mexican companies that use factoring, the notes from Odoo 19.2 also document the incorporation of factoring payments in the bank reconciliation view. [3] It is an improvement that deserves to be tested with representative business operations. When evaluating an update, it is advisable to bring a complete case, with its documents and transactions, to verify that the team can follow the operation and explain its differences.

Collections with fewer scattered follow-ups

The closing also reveals money that has not yet come in. Think of a collections manager who gathers overdue invoices, prepares reminders, and checks with sales if any customer has a pending clarification. If the follow-up depends on personal notes, it is easy to lose continuity.

Odoo 19.3 allows sending follow-ups for customer invoices from the list or from the invoice send button. Automatic reminders can be activated and managed in the Accounting settings. [4]

This improvement can facilitate that the follow-up becomes part of a shared routine. To apply it well, the company needs to define when to remind of a due date, who handles a clarification, and how to review a disputed invoice before insisting on collection.

A useful way to evaluate the outcome is to compare how many overdue invoices remain unaddressed at the end of each week. This way, the team can observe if the new routine improves the attention to the portfolio, without assuming that sending more messages means collecting faster.

Assets with an easier-to-maintain setup

Buying a computer or a machine initiates a tracking process that continues for years. Its record must maintain consistency with the company's accounting policy, even when the people managing the assets change.

Odoo 19.2 replaces asset models with depreciation models focused on calculation and concentrates configurations and automations in the asset accounts. Odoo 19.3 adds the use of rates and decimal values in depreciation. [3, 4]

For a company with several types of equipment, these improvements can facilitate the maintenance of common criteria. For example, when incorporating new computers, the person in charge should be able to identify the corresponding model and check its parameters before proceeding.

It is advisable to take advantage of an update to review existing assets and document exceptions. The goal is for another person to understand how each group of goods was configured and maintain that criterion in subsequent purchases.

The closing improves when each pending item has an owner

An update offers tools; the outcome depends on how they are incorporated into daily work. If invoices arrive late, accounts are used without a common criterion, or no one reviews the pending movements, the closing will continue to accumulate clarifications.

Before planning an upgrade to Odoo 20, it is worth observing a complete close. Where is the capture repeated? What differences reappear? What information does accounting need and who should provide it? The answers help choose a specific improvement and measure its effect.

You can start with the time spent on recording invoices, the pending payments to reconcile, and the days needed to complete the close. Comparing those indicators allows you to decide which process should be adjusted next.

For example, if a company discovers that it loses a morning each month requesting receipts, its first improvement could be to define when and where they should be delivered. If the delay is in classifying recurring expenses, it would make sense to evaluate the capture suggestions. This diagnosis helps to invest effort where there is an observable difficulty and to check later if the chosen solution really reduces it.
